Project support / controlled approvals

Custom Lighting Project Support from Brief to Export Handoff

Custom lighting is controlled through agreed versions, not presentation images alone. Topeng can coordinate the requirement, candidate partner comparison, approval records and export handoff for the scope confirmed in the RFQ.

Pending confirmation

Capability or requirement is discussed at project level before any model, finish or document claim is published.

Nine controlled stages

From design intent to a version that can be ordered

Listing a checkpoint does not mean it is automatically included. Owner, method, timing, cost and acceptance record are confirmed per project.

  1. 01

    Brief

Record project, room, reference, quantity, date, electrical and commercial requirements.

  2. 02

    Style board

Align form, proportion, material and finish direction without presenting a concept image as a confirmed product.

  3. 03

    Partner shortlist

Compare candidate manufacturing partners for the defined fixture and evidence need.

  4. 04

    Shop drawing

Control dimensions, mounting, components, electrical data and revision status.

  5. 05

    Material and finish sample

Record the approved material, colour, sheen, texture and decorative components.

  6. 06

    Mock-up or golden sample

Where agreed, identify the physical or documented reference for production.

  7. 07

    Production checkpoints

Define what is checked, when it is checked and who records the result.

  8. 08

    Packing and protection

Agree carton, crate, component separation, labelling and fragile-item protection requirements.

  9. 09

    Export handoff

Confirm document, packing, shipment and delivery responsibilities for the ordered scope.

Approval record

What the approval record should connect

A controlled record links every decision to the project version and the party responsible for it.

RecordMinimum content
Requirement summaryProject, room, quantity, target market, delivery window and buyer contact.
DrawingDrawing number, revision, date, dimensions, mounting and approval status.
Material / finishMaterial, finish code or approved sample reference, colour and surface description.
ElectricalVoltage, frequency, light source, driver/control, CCT, CRI and project-required parameters.
Document scopeDocument holder, issuing body, date and the model or version covered.
Sample decisionSample type, reviewed version, deviations, approver and decision date.
Change controlRequested change, affected drawing or sample, commercial or schedule effect and approval.
Packing / inspectionAgreed protection, marking, quantity check, inspection point and record owner.

Responsibility boundary

Keep each role visible

Coordination does not turn Topeng into the manufacturer, document issuer, consultant or approving authority.

01

Buyer / Project Team

Provides project requirements and confirms design, technical, commercial and approval decisions.

02

Topeng

Coordinates the brief, comparison, evidence requests, approval record, quality checkpoints and export handoff within the agreed scope.

03

Manufacturing Partner

Produces the confirmed version and provides the drawings, samples, product data or records assigned to it.

04

Document Holder / Issuing Body

Owns or issues the relevant technical or third-party document; its scope must match the selected version.

05

Consultant / Authority

Where applicable, makes the project approval decision under its own requirements; Topeng does not claim that approval in advance.

Topeng coordinates sourcing, technical comparison, approval checkpoints and export handoff. Manufacturing partners, document owners and the confirmed supply scope remain separately identified for each RFQ.

FAQ / evidence boundary

Custom lighting support FAQ

These answers separate public evidence from the configuration and file checks completed for a live project.

Is a golden sample required for every project?

No. The need depends on design risk, quantity, finish complexity, budget and schedule. If used, the approved version and acceptance record should be identified before production.

Does Topeng inspect every production order?

Inspection is not assumed. The inspection scope, timing, method, responsible party and record are agreed in the RFQ or contract.

Can you provide shop drawings and material samples?

Topeng can coordinate these items with the selected manufacturing partner when they are included in the confirmed project scope. Availability and timing are stated in the RFQ.

How are changes after approval handled?

The changed requirement should be connected to a new drawing, sample or specification revision, then reviewed for price, lead-time and production effect before acceptance.

Does Topeng guarantee project approval or certification?

No blanket guarantee is made. Topeng can organise available documents and clarify their scope; the buyer, consultant or relevant authority decides whether they satisfy the project requirement.

Next step / approval route

Define the approval route before requesting a final quote

Use the custom brief to state which drawings, samples, documents, inspection points and packing records your project expects.
